- Privacy and security: all indexing and searching happen on the PC. No AI model is used, so mail is never sent to one. The search index is encrypted with AES-256 and its key is protected by Windows for the signed-in user. No telemetry; crash reports are sent only when the user chooses to. The app contacts the vendor only to check for updates and to activate a licence key.
- Speed: results appear as you type. On the developer's PC, a search across about 300,000 messages that returns more than 15,000 matches takes around 30 milliseconds. New mail is indexed within seconds while Outlook is open.
- Usability: one search box, with filters for sender, recipient, subject, folder, account, date, attachment and item type; duplicates across folders and accounts collapse into one row; a whole conversation in one click; preview with highlighted matches; Enter opens the message in Outlook; reply, forward, move and flag through Outlook from the results. The installer is about 62 MB, per user, and needs no administrator rights.

- Compared with Outlook's built-in search: Microsoft's help pages say Outlook shows 250 results by default and returns only the first 1,000. For mail on the PC it relies on Windows Search, which indexes Outlook data only while Outlook is running; Microsoft 365 mail is mostly searched on Microsoft's servers. AllMailFound shows every match, works with Outlook closed, collapses duplicate copies, and also searches exported .eml, .msg and mbox files.
- Result limits: Lookeen shows 5,000 results by default and 20,000 at most, according to its user manual. AllMailFound has no limit.
- Licences: Lookeen, Copernic Desktop Search and X1 Search each allow one computer per licence under their own licence terms. An AllMailFound licence covers 2 PCs.
- On AI: AllMailFound uses no AI model at all, so mail content is never sent to one. Lookeen includes an optional ChatGPT-based assistant in every edition, and Copernic Desktop Search's Advanced and Elite editions add AI powered by Google Gemini or OpenAI through the user's own API key; both send the content a user chooses to that AI provider. X1 Search 11 has optional AI models that run on the PC. Microsoft 365 Personal, Family and Premium include Copilot.
- Where other products fit better: X1 Search also covers Teams, Slack and cloud drives; Copernic covers cloud drives, and Teams and SharePoint in its Elite edition. Lookeen, Copernic's Advanced and Elite editions and X1 Search can also index Microsoft 365 mail online through their own connectors. AllMailFound focuses on Outlook mail and mail files on the PC.
