Privacy policy
Draft for legal review. The controller's legal name, address and contact are to be filled in before publication.
The short version
AllMailFound works on your PC. Your e-mail, attachments, contacts and the search index never leave it. The software contacts the internet in two situations only, and both are described below.
What stays on your PC
The search index, your settings, saved searches, the log and any crash reports are stored in your Windows user profile (%LOCALAPPDATA%\AllMailFound). Uninstalling AllMailFound removes the index and the log. We have no access to any of it.
What the software sends, and when
| When | What is sent | To whom |
|---|---|---|
| Checking for updates (about once a day; can be switched off under Settings › General) | A request for the update manifest. Like every web request it carries your IP address and the AllMailFound version number. | Our update server |
| Crash reports, only if you switch them on | The app version, Windows version, processor count and memory size, the error's stack trace and the last few hundred lines of the AllMailFound log. The log records file names of your data files and folder names, never message content. | Our crash report server |
| When | What is sent | To whom |
|---|---|---|
| Activating a licence key, and about once a week afterwards to confirm it | The licence key, a hashed identifier of the Windows installation (not reversible to hardware serials), the PC name and the AllMailFound version. We keep these with the licence so we can count activations and show them on your account page. | Our licence server |
AllMailFound contains no analytics, advertising or tracking code and does not transmit search terms, message content, addresses or attachment text under any circumstances.
Support tickets
Help › Feedback and support in AllMailFound opens a ticket on our server with what you type, the topic, your name and e-mail address if you choose to give them, the AllMailFound version, the Windows version, the installation id and, only if you leave the box ticked, the last two hundred lines of the AllMailFound log (account names and file paths, never message content). Tickets are kept while we work on them and for support history afterwards; ask us to delete one at any time.
Your account page
Signing in means presenting your licence key; we store no password and send no e-mail. The page shows the PCs the licence is activated on and lets you reset them.
Purchases
Launch notifications
If you enter your e-mail address on the coming-soon page, we store it with the date so that we can send you one e-mail when AllMailFound is released. Nothing else is sent, the address is not shared, and the list is deleted after the launch mailing. Write to [email protected] to be removed earlier.
Payments are processed by Stripe, which collects your card details and billing address under its own privacy policy; we never see your card number. We receive your name, e-mail address and order details from Stripe to issue and support your licence and keep them for as long as the licence is valid plus the period required by tax law.
Support e-mail
If you write to us we keep the correspondence to answer you and improve the product. Attach log or crash files only if you are comfortable sharing the file and folder names they contain.
Your rights
Depending on where you live you may have the right to access, correct or delete personal data we hold, to object to its processing, or to complain to a supervisory authority. Contact [contact e-mail] and we will respond within 30 days.
Changes
We will post changes to this policy on this page with a new effective date. Material changes affecting what the software sends will be shown in the software before they take effect.
